A tire shop that ran on paper. We replaced every form, every cabinet, every handwritten note.

A tire service company managed its entire operation with physical card cabinets, handwritten work orders, and a paper agenda. We built custom software that digitised every process from intake to invoice.

The problem

Paper works. Until it doesn't.

The shop had a system that technically worked. Customer tire records lived in a card cabinet. Work orders were handwritten slips passed from the office to the garage. Scheduling happened in a paper agenda. Invoices were printed and processed by hand.

But "works" had limits. Finding a customer's tire record meant flipping through hundreds of cards. A lost work order meant a missed appointment. Double bookings happened because the paper agenda couldn't warn anyone. And during peak season (15-18 cars a day for seasonal tire changes), the cracks showed.

The owner had looked at off-the-shelf solutions, but nothing fit how the business actually worked. They needed a system built around their process, not a process built around someone else's software.

What we built

One system. Every process. From intake to invoice.

Tire Hotel (storage management)

Digital intake and outtake forms replaced the card cabinet. Every tire set gets a status: good, needs replacement, or uncertain. Each tire can be photographed and annotated. Quality checks run as a digital checklist. When tires are flagged as "needs replacement", the system automatically triggers a customer notification and a purchase order.

Work Orders

Digital work orders flow from office to garage. The mechanic opens the order on an iPad, sees what needs to be done, logs parts used, adds notes, and marks the job as complete. Status updates automatically: open, scheduled, completed, invoiced. No more lost slips.

Scheduling

A digital calendar visible on screens in the office and the garage. Time blocks per job type (one hour for tire changes, 30 minutes for rims). Customers can book online. No more double bookings, no more paper agenda.

Quoting and Invoicing

Quotes are created digitally with customer, product, and amount. When accepted, a work order is generated automatically. After completion, the status moves to "ready for invoicing". QR codes and iDEAL links on invoices. Automatic reminders for overdue payments.

Customer and Vehicle Database

Every customer, every vehicle, every tire set, searchable by name or license plate. The physical card cabinet is gone.
